Navodaya Cultural Association, Dhanori, Pune (“NCA Dhanori”, “NCA”, “we”, “us”, or “our”) is committed to providing a clear and accessible way for members, event participants, stallholders, website users, and other individuals to contact us and raise questions, concerns, or complaints.
This Grievance & Contact Policy explains how you can contact NCA and how we may handle complaints and requests.

- Membership
- Membership applications
- Membership renewal
- Membership information
- Event registrations
- Event participation

3. Privacy and Personal Data Requests
If your concern relates specifically to personal information collected or processed by NCA, you may contact us regarding matters such as:

Where applicable, NCA may need to verify the transaction with the relevant payment service provider before resolving the matter.

5. Membership Complaints
For membership-related complaints, please provide enough information for NCA to identify the relevant membership record.

6. Event-Related Complaints
If you have a complaint concerning an NCA event, please contact us as soon as reasonably possible.

7. Stallholder Complaints
Stallholders may contact NCA regarding:
- Stall allocation
- Stall location
- Booking confirmation
- Payment
- Cancellation
- Refunds
- Setup arrangements
- Facilities
- Event rules
- Operational concerns
Stallholders should provide their booking reference or transaction information wherever available.

8. Photo and Media Requests
If you have concerns regarding a photograph or video published by NCA, you may submit a request containing:
- Your name
- Contact information
- Event name
- Approximate event date
- Photograph or page URL, if available
- Description of the image
- Nature of your concern
- Requested action
NCA will review the request and determine appropriate action in accordance with its Photo & Media Policy, Privacy Policy, and applicable law.
9. Information to Include in a Complaint
To help NCA process a complaint efficiently, please provide:
- Your full name
- Your contact information
- Relevant membership, registration, or booking details
- Transaction/reference number, where applicable
- Date of the relevant event or transaction
- A clear description of the issue
- Any supporting documents or screenshots, where relevant
- The resolution or action you are requesting
Please do not send passwords, complete payment-card numbers, banking credentials, or other highly sensitive information through ordinary email or contact forms.
10. Acknowledgement of Complaints
NCA will make reasonable efforts to acknowledge complaints or requests received through its official contact channels.

The actual response time may vary depending on:
- Complexity of the matter

NCA will review complaints based on the information available and the nature of the matter.
Where appropriate, NCA may:

- Consult event coordinators or authorized representatives

- Provide an explanation or clarification
- Decline a request where there is a valid reason to do so
NCA will aim to handle complaints fairly and reasonably.
12. Privacy During the Grievance Process
Information provided as part of a complaint or request may be used to:
- Verify the identity of the person making the request
- Investigate the complaint
- Communicate with the complainant
- Review relevant records
- Resolve the issue
- Prevent misuse or fraud
- Comply with applicable legal requirements
Personal information submitted during the grievance process will be handled in accordance with the NCA Privacy Policy.
13. False or Malicious Complaints
NCA encourages individuals to raise genuine concerns.
However, complaints containing knowingly false information, threats, harassment, abusive language, or attempts to misuse the grievance process may be rejected or handled appropriately.
This does not prevent individuals from raising genuine concerns in good faith.

If you are not satisfied with the response received, you may request that the matter be reviewed by:

Expected escalation response period: 2 business days
NCA may establish an internal escalation process depending on the nature and seriousness of the complaint.
15. External Rights and Remedies
Nothing in this policy prevents an individual from exercising any rights or pursuing any remedies available under applicable law.
Where a matter concerns a regulated service provider, payment provider, government authority, venue, or other third party, the individual may also have separate rights or complaint mechanisms available through that organization.
16. No Waiver of Legal Rights
This policy is intended to provide a practical process for contacting NCA and raising concerns.
It does not remove, restrict, or waive any rights or remedies available to an individual under applicable law.
17. Changes to This Policy
NCA may update this Grievance & Contact Policy from time to time.
Any updated version will be published on this page with a revised “Last Updated” date.
