Membership Policy

This Membership Policy (“Policy”) explains the membership terms and conditions of Navodaya Cultural Association, Dhanori, Pune (“NCA Dhanori”, “NCA”, “we”, “us”, or “our”).
This Policy applies to individuals who apply for, obtain, renew, or hold membership with NCA.
By submitting a membership application or paying the applicable membership fee, you acknowledge and agree to this Policy, the NCA Terms & Conditions, and the Privacy Policy.
1. About NCA Membership
NCA membership provides individuals and families with an opportunity to participate in and support the cultural, social, community, and other activities organized by Navodaya Cultural Association, Dhanori, Pune.
Membership may provide access to benefits, communications, activities, or participation opportunities determined by NCA.
Membership does not guarantee admission to every NCA event, activity, program, or venue where separate registration, payment, capacity limits, or other conditions apply.
2. Membership Eligibility
Membership is available to individuals who satisfy the membership requirements established by NCA.
NCA reserves the right to review membership applications before approval.
An application may be declined where:
- The applicant does not satisfy the applicable eligibility requirements
- The information provided is incomplete or materially inaccurate
- The application contains misleading information
- The applicant has previously violated applicable NCA rules
- Approval would create a legal, safety, or organizational concern
- Membership capacity or other applicable restrictions apply
Where an application is declined after payment, the applicable refund will be handled according to the Refund & Cancellation Policy.
3. Membership Application
Applicants must provide accurate and complete information.
The membership application may collect:
- Full name
- Email address
- Phone number
- Residential or postal address
- Number of family members
- Other information required for membership administration
Applicants are responsible for ensuring that the information provided is accurate.
NCA may request additional information where reasonably necessary to verify or administer a membership application.
4. Family Members
Where NCA offers family membership, the primary member may provide information regarding the family members covered under the membership.
The primary member is responsible for ensuring that information provided regarding family members is accurate and that they are authorized to provide such information where required.
Additional fees or conditions may apply depending on the applicable membership category.
5. Membership Categories
NCA may offer one or more membership categories.
Membership categories, fees, benefits, and eligibility may be changed for future membership periods.
6. Membership Fee
The applicable membership fee will be displayed or communicated during the membership application process.
Membership becomes effective only after:
- The application has been approved or accepted by NCA, where approval is required; and
- The applicable membership fee has been successfully paid.
The membership fee is separate from fees that may apply to individual events, activities, stall bookings, or other services.
7. Membership Validity
Membership is valid for the period specified by NCA.
Unless otherwise stated, membership does not automatically renew.
Members may be required to submit a new application or complete a renewal process when their membership expires.
8. Membership Benefits
Depending on the membership category and applicable NCA rules, members may receive benefits such as:
- Membership identification
- Access to member communications
- Participation opportunities in NCA activities
- Member-specific event information
- Access to applicable member benefits
- Opportunities to participate in community initiatives
Membership does not guarantee:
- Admission to sold-out events
- Availability of event seats
- Free participation in paid events
- Stall allocation
- Discounts unless specifically stated
- Any particular event or activity
9. Membership Card or Identification
Where NCA issues a membership card, digital membership identification, or other proof of membership, it may be used to verify membership status.
Members must not transfer membership identification to another person.
If a membership card or identification is lost or misused, the member should notify NCA.
10. Renewal
Members may renew their membership according to the renewal process established by NCA.
NCA may communicate renewal information through email, phone, WhatsApp, website notifications, or other communication channels.
Renewal is not complete until the applicable requirements and payment have been completed.
11. Updating Membership Information
Members should notify NCA if important membership information changes, including:
- Name
- Email address
- Phone number
- Address
- Family-member information
NCA may request reasonable verification before changing membership records.
12. Membership Communications
NCA may contact members regarding:
- Membership status
- Renewal
- NCA events
- Event registration
- Community activities
- Important organizational announcements
- Changes affecting membership
- Other communications reasonably related to NCA activities
Communication may take place through:
- Phone
- SMS
- Website notifications
- Other communication channels provided by the member
Members may request changes to certain optional communications where applicable.
13. Membership Cancellation by Member
A member may request cancellation of their membership by contacting NCA.
Membership cancellation does not automatically guarantee a refund.
Any refund will be determined according to the Refund & Cancellation Policy.
14. Suspension or Termination by NCA
NCA may suspend or terminate a membership where reasonably necessary due to:
- Violation of NCA rules
- Violation of the Terms & Conditions
- Providing materially false or misleading information
- Fraudulent activity
- Serious misconduct
- Threatening or abusive behavior
- Conduct that creates a safety concern
- Unlawful activity
- Conduct that materially harms NCA or its members
- Other serious violations of applicable policies
Where appropriate, NCA may provide the member with an opportunity to explain the circumstances before termination.
In urgent circumstances involving safety, security, or legal concerns, immediate action may be taken.
15. Membership Fees After Termination
If membership is suspended or terminated due to a member’s violation of applicable rules, the member’s entitlement to any refund will be determined according to the circumstances and applicable Refund & Cancellation Policy.
Unless otherwise required by applicable law, termination does not automatically create an entitlement to a refund.
16. Membership Is Non-Transferable
Membership is personal to the approved member unless NCA expressly provides otherwise.
A member must not:
- Transfer membership to another individual
- Allow another person to use their membership identification
- Represent another person as the registered member
Family membership, where applicable, is subject to the family-member rules established by NCA.
17. Member Conduct
Members are expected to behave respectfully toward:
- Other members
- Event participants
- Volunteers
- Organizers
- Vendors
- Staff
- Venue personnel
- Members of the public
Members must comply with reasonable instructions issued by NCA during events and activities.
18. Participation in NCA Events
Membership may provide opportunities to participate in NCA events and activities.
However, membership does not automatically guarantee participation in every event.
Some events may require:
- Separate registration
- Additional fees
- Limited-capacity registration
- Advance booking
- Specific eligibility
- Event-specific terms
Where separate event registration is required, the applicable event terms will apply.
19. Event Photography and Media
Members may be photographed or recorded while attending NCA events and activities.
NCA may use event photographs and videos in accordance with its Photo & Media Policy.
Members who have concerns about the use of an identifiable photograph or video may contact NCA using the contact details provided on the website.
20. Privacy and Personal Information
Information provided during membership registration will be handled according to the NCA Privacy Policy.
NCA may use membership information for purposes including:
- Membership administration
- Communication
- Event management
- Registration
- Payment verification
- Record keeping
- Community coordination
- Compliance with applicable legal requirements
NCA does not sell member personal information.
21. Membership Records
NCA may maintain membership records for reasonable administrative, organizational, financial, communication, and legal purposes.
Records may include:
- Membership application
- Membership status
- Payment information and transaction references
- Contact information
- Renewal information
- Family membership information
- Relevant communication records
Retention of such information is subject to the NCA Privacy Policy.
22. Changes to Membership Fees and Benefits
NCA may modify membership fees, categories, benefits, eligibility requirements, or other membership conditions for future membership periods.
Changes will not ordinarily alter the agreed terms of an already-paid membership period unless required by law or necessary due to exceptional circumstances.
23. No Guarantee of Specific Benefits
Membership provides access to the benefits and opportunities specified by NCA for the applicable membership category.
NCA does not guarantee:
- A specific number of events
- A specific number of activities
- Availability of particular venues
- Discounts unless expressly stated
- Priority access unless expressly stated
- Any particular service or benefit beyond those communicated for the membership category
24. Changes to This Membership Policy
NCA may update this Membership Policy from time to time.
The updated policy will be published on the NCA website with a revised “Last Updated” date.
Where a change materially affects an existing membership, NCA will make reasonable efforts to communicate the change where appropriate.
25. Governing Law and Jurisdiction
This Membership Policy shall be governed by and interpreted in accordance with the applicable laws of India.
Subject to applicable law, disputes relating to NCA membership shall be subject to the jurisdiction of the appropriate courts in Pune, Maharashtra, India.
