Refund & Cancellation Policy

This Refund & Cancellation Policy explains the cancellation and refund terms applicable to payments made to Navodaya Cultural Association, Dhanori, Pune (“NCA Dhanori”, “NCA”, “we”, “us”, or “our”) through the NCA website or other authorized payment channels.
This policy applies to payments made for:
- Membership fees
- Event registration fees
- Event participation fees
- Stall booking fees
- Other fees specifically communicated by NCA
By making a payment to NCA, you acknowledge and agree to the terms of this Refund & Cancellation Policy.
1. General Refund Policy
All payments made to NCA are generally non-refundable.
Once a payment has been successfully completed, the member, participant, applicant, or stallholder cannot request a refund simply because they no longer wish to use the membership, attend the event, or participate in the activity.
This includes situations where:
- A member changes their mind after purchasing membership
- A member no longer wishes to continue their membership
- A participant decides not to attend an event
- A participant is unable to attend an event after registration
- A stallholder no longer wishes to operate the booked stall
- A stallholder is unable to attend the event
- A member, participant, or stallholder makes a cancellation request after payment
No refund will ordinarily be provided for cancellations initiated by the member, participant, applicant, or stallholder.
Any exception to this policy will be at the sole discretion of NCA and will be considered based on the specific circumstances.
2. Membership Fee Refunds
Membership fees paid to NCA are non-refundable.
2.1 Cancellation by Member
If a member decides to cancel their membership after payment has been made, the membership fee will not be refunded.
This applies regardless of the reason for cancellation, including:
- Change of mind
- Change in personal circumstances
- Inability to participate in NCA activities
- Relocation
- Failure to use membership benefits
- Any other reason for voluntarily cancelling the membership

Cancellation of membership does not create an entitlement to a refund.
2.2 Membership Cancellation by NCA
NCA may cancel, suspend, or terminate a membership in accordance with the NCA Membership Policy and Terms & Conditions.
If NCA cancels a membership for reasons determined by NCA, NCA may, at its discretion, consider whether a refund is appropriate.
Any refund, if applicable, will be determined based on the circumstances of the cancellation, including:
- Reason for cancellation
- Time elapsed since payment
- Services or benefits already provided
- Administrative or operational costs incurred by NCA
- Any other relevant circumstances
A membership cancellation by NCA does not automatically guarantee a full refund.
3. Event Registration and Participation Fees
Event registration and participation fees paid to NCA are generally non-refundable.
3.1 Cancellation by Participant
If a participant cancels an event registration after making payment, no refund will ordinarily be provided.
This applies even if the participant:
- Changes their mind
- Becomes unavailable
- Cannot attend the event
- Has personal or scheduling conflicts
- Does not attend the event
- Requests cancellation before the event date
3.2 Failure to Attend
Failure to attend an event after completing registration does not create an entitlement to a refund.
Participants are responsible for ensuring that they are able to attend before completing a paid registration.
4. Event Cancellation by NCA
If NCA cancels an event, NCA will communicate the applicable arrangements to registered participants.
Depending on the circumstances, NCA may consider:
- A full refund
- A partial refund
- Transfer of registration to a rescheduled event
- Credit toward another NCA event
- Another reasonable arrangement
Any refund will be determined by NCA based on the circumstances surrounding the event cancellation.
An event cancellation by NCA does not automatically guarantee a full refund.
NCA may consider factors such as:
- Reason for cancellation
- Expenses already incurred
- Venue and service-provider commitments
- Payment-processing costs
- Event preparation costs
- Whether the event can be rescheduled
- Whether an alternative arrangement can be provided
5. Event Postponement or Rescheduling
NCA may postpone or reschedule an event due to circumstances including:
- Weather conditions
- Venue-related issues
- Government directions or restrictions
- Public safety concerns
- Operational requirements
- Unforeseen circumstances
- Force majeure events
- Other circumstances beyond NCA’s reasonable control
Where an event is postponed or rescheduled, NCA will communicate the new arrangements to registered participants.
Depending on the circumstances, NCA may:
- Transfer the existing registration to the rescheduled event
- Offer a refund
- Offer a partial refund
- Provide another reasonable arrangement
The applicable arrangement will be determined by NCA based on the circumstances.
6. Stall Booking Fee Refunds
Stall booking fees paid to NCA are generally non-refundable.
6.1 Cancellation by Stallholder
If a stallholder cancels a confirmed stall booking after payment has been made, the stall booking fee will not ordinarily be refunded.
This applies regardless of the reason for cancellation, including:
- Change of plans
- Business-related circumstances
- Personal circumstances
- Inability to attend
- Change of business plans
- Failure to participate in the event
A stallholder may contact NCA regarding cancellation, but cancellation does not create an automatic right to a refund.

6.2 Stall Booking Cancellation by NCA
NCA may cancel a stall booking for reasons including:
- Event requirements
- Venue restrictions
- Safety concerns
- Legal or regulatory requirements
- Violation of stall booking terms
- Inaccurate or misleading information
- Prohibited products or activities
- Operational requirements
- Other circumstances affecting the event
Where NCA cancels a stall booking, NCA may, at its discretion, consider a full or partial refund based on the circumstances.
A cancellation by NCA does not automatically guarantee a full refund.
7. Event Cancellation and Stall Bookings
If NCA cancels an event for which a stallholder has already paid a booking fee, NCA will communicate the applicable arrangements.
Depending on the circumstances, NCA may:
- Reschedule the stall booking to another date
- Provide a full refund
- Provide a partial refund
- Provide credit toward another NCA event
- Provide another reasonable arrangement
The decision will be based on the circumstances of the event cancellation.
NCA may consider expenses and commitments already incurred in connection with the event, including venue costs, infrastructure, service providers, administration, and other event-related expenses.
8. Duplicate or Incorrect Payments
If you believe that you have made:
- A duplicate payment
- An incorrect payment
- A payment for an unsuccessful registration
- A payment where the booking or registration was not successfully created
please contact NCA as soon as possible.
Please provide:
- Full name
- Email address
- Phone number
- Transaction/reference number
- Date of payment
- Amount paid
- Relevant membership, event, or stall information
NCA will review the transaction.
Where a genuine duplicate payment or payment error is confirmed, NCA may initiate an appropriate correction or refund.
9. Failed Transactions
If your bank account or payment method has been charged but your NCA membership, event registration, or stall booking was not successfully completed, please contact NCA with the relevant transaction details.
NCA may need to verify the transaction with the applicable payment service provider before determining the appropriate action.
10. Refund Processing
Where NCA approves a refund, the refund will generally be processed through the original payment method, where technically and operationally possible.
The time required for the refund to reach the original payment method may depend on:
- Payment gateway processing
- Bank processing
- Card issuer
- Payment method
- Verification requirements
- Other third-party financial institutions
NCA is not responsible for delays caused solely by banks, payment gateways, card issuers, or other third-party payment providers.
11. Payment Gateway and Processing Charges
Where applicable, payment gateway or transaction-processing charges may have been incurred when the original payment was made.
The treatment of such charges will depend on the circumstances of the refund.
Where a refund is approved, NCA may deduct non-recoverable payment-processing or transaction charges where reasonably applicable.
Any such deduction will be determined based on the circumstances and the applicable payment-provider terms.
12. No-Show Policy
Failure to attend an event after making a successful payment does not create an entitlement to a refund.
Similarly, a stallholder who does not attend or operate their allocated stall without prior approval from NCA will not ordinarily be entitled to a refund.
13. Exceptions to the No-Refund Policy
NCA may consider an exception to this Refund & Cancellation Policy in exceptional circumstances.
Any exception will be considered on a case-by-case basis and at the discretion of NCA.
Examples of circumstances that NCA may consider include:
- Cancellation initiated by NCA
- Event cancellation by NCA
- Stall booking cancellation initiated by NCA
- Membership cancellation initiated by NCA
- Duplicate payment
- Confirmed payment-processing error
- Other exceptional circumstances considered appropriate by NCA
The consideration of an exception in one case does not create an obligation for NCA to provide the same exception in another case.
14. Event-Specific Refund Terms
Certain events may have additional refund or cancellation terms.
Where event-specific terms are provided during registration or booking, participants and stallholders are responsible for reviewing those terms before completing payment.
Event-specific terms may supplement this policy.
Where an event-specific term directly addresses a particular refund situation, that term may apply to the relevant event, subject to applicable law.
15. How to Request Consideration for a Refund
Although payments are generally non-refundable, a person who believes that their circumstances qualify for consideration under this policy may contact NCA.

- Date of payment

- Type of payment — membership/event/stall

Submitting a request does not guarantee that a refund will be approved.
16. Refund Decision
NCA will review refund requests based on:
- This Refund & Cancellation Policy
- Applicable event-specific terms
- Payment records
- The reason for the request
- Whether the cancellation was initiated by NCA
- Costs and commitments already incurred
- The nature and timing of the transaction
- Other relevant circumstances
NCA will communicate its decision through the contact information available in its records.
The decision regarding an exceptional refund will be made based on the circumstances of the particular case.
17. Changes to Fees or Refund Terms
NCA may modify its fees, cancellation conditions, or refund terms for future memberships, events, stall bookings, or other activities.
The applicable terms will be communicated or displayed before the relevant payment is completed.
Changes to this policy will be published on this page with an updated “Last Updated” date.
Changes will generally apply to future transactions and will not retrospectively alter the terms applicable to payments already completed, unless required by applicable law.
18. Privacy and Payment Information
Personal information submitted in connection with a refund request will be handled in accordance with the NCA Privacy Policy.
NCA may use transaction and registration information to:
- Verify payments
- Review refund requests
- Process approved refunds
- Maintain financial records
- Resolve disputes
- Prevent fraud or misuse
- Comply with applicable legal requirements
